We use an excel spreadsheet to track vacation that everyone has access to. Its an ‘honor system’ for exempt employees (non exempt report their’s on timesheets) And its what the big boss can see since he’s in a different city than us. For the immediate office we use a large wall calendar posted in the breakroom where everyone posts their out of office days and this works great.

We use the calendar in Outlook. Everyone turns in a time-off request form and then it gets entered into Outlook.

As indicated by #2 poster, we use an excel spreadsheet too which is shared by the group. It's redundant because exempt and non-exempt employees have to still record vacation/sick days within an online HR timesheet. Of course, the duplication is because the department VP would like to view on a summary level current and future out of office absences for the entire team.

I actually would like to post my template on this site as it may help others if they're interested in using this format. I created it from scratch with a colleague.

Our HR provides us with a monthly status on vacation balances which is great. But, it's at the end of the month, so we still need to track at the department level to ensure we don't approve vacation that isn't due. Everyone uses a time off form request so we use those to enter the time into Excel. I also keep a big calendar on my wall and mark the person's initials in the appropriate date square. It works well.

Has this excel tracking sheet been posted anywhere? I'm looking for an excel spreadsheet that shows all team members' vacation so that my boss can see at a glance who is off on a given day.
