Organizing Stationary Cupboards
I work in a small office that has never had an admin assistant. The filing cabinate is a mess and there is no procedure aquiring items... people just help themselves. Also there is not ordering procedure.

Any Ideas?

We have a compactus that is used to store all our stationery items. There is a note taped to the compactus asking people to list the items they need or to list if they take the last item out of the compactus. There is also a note saying who to see if they need an urgent order of any stationery. We have only implemented this system in the last few months to try and save on costs. So far it seems to be working.

Having said this we are a group of about 30 people - i'm sure there would be systems based on the number of people who use the stationery.

Here are some tips:
1. Gathered all the stationaries into one location perferred in one cupboard with lock.
2. Kept those stock which seldom use, such as toner and un-used box file on the top or bottom level of the cupboard.
3. Kept all the "little" stationaries (such as clips, rubber band, etc.) in the middle level. Grouping them together for easy stock control also your colleagues could take it easily.
4. Monthly requisition of stationary can keep a good control of the stock. Prepare a stationary requistion form for your colleagues. In case in a small office, to reduce the use of paper, ask your colleagues to send their request for stationary by e-mail.
5. Review these new procedures after 3 months and see if any adjustment needed.
