Paste Special is the typical way to link Excel data to a Word document but I frequently hear that the choices are confusing. There is a little known "secret" technique using the Paste Options smart tag that is even easier and more "people friendly" than Paste Special.

This is all you need to do to simply copy Excel data or to create a dynamic link when your Excel worksheet:

1. Select and copy the Excel data.
2. Move to the location in your Word document and choose Paste (using any paste technique you like).
3. Look for the Paste Options button in the bottom right corner of your pasted data. (If the button doesn't display then it may have been turned off under Word's options).

4. The Paste Options button includes different choices for formatting plus options to link to Excel including "Keep Source Formatting and Link to Excel."


If you create a link to Excel, you do not have to keep both files open at the same time to update the link; just confirm that you want to update the link when you re-open the Word file and Word will automatically re-connect to Excel even if the workbook isn't open.
