Our Offices Are Moving To A New Location
HELLO ALL AND HAPPY DAY FOR US!!!
AS THE TITLE SAYS, WE ARE MOVING OF LOCATION, SO WE NEED TO LET AS OUR CUSTOMERS, OUR VENDORS TOO ABOUT OUR NEW OFFICE'S ADDRESS. WILL YOU THINK MAILING PRE-PRINTED CARDS IT'S A GOOD IDEA? OR A NICE COVER LETTER WITH THE INFO. THANKS ON ADVANCE FOR YOUR HELP,: ![]() OFFICEMGR |

My company moved offices very recently as well (last month).
What WE did, was draft up a letter in word (on our new stationery with new address). We then created a list of companies and addresses from our financial database. (If we'd dealt with them in the last 2 years - they were on the list) We were then able to send the letter and the list to our printing specialists (Worldwide Online Printing - The corporate partner for printing and design!). They then printed out the addresses onto envelopes with our logo, and were able to do a mass postage (which we then paid for afterwards). It was the best, fuss free way for us to go. Of course it all depends on how many people you need to make aware about your move. We had about 500 on our list, so it wasn't something I could physically do myself. I would suggest sending an easy to read post card first (which will also save on postage). Your sales/marketing people could then write a personal letter on your new stationary, to top clients you might want to give a little more personal attention to. With this letter you should include extra business cards the receiver can distribute to others in their organization or around town.

I suggest sending an email to your vendors, clients, and business associates. Postcards, letters, etc., will usually get tossed in the trash. I don't want to rely on someone actually changing my address in their database. Ask the department managers to send email notices to their contacts.
There is a change of address form (I think it's Form 8022) that you need to file with the IRS. Make sure you notify your local city/county jurisdiction that you have moved. Most of this can be done online. Also, make sure you fill out one of the change of address forms with the USPS. Let your FedEx and UPS delivery personnel know you are moving - they are your contact with the distribution center. Leave a note on your door that states when and where your office is located. |
