Calling All Multi-Taskers: Hone Your Phone Skills

As a compulsive multi-tasker, I can assure you that I've tried it all. In high school, I would study while doing sit-ups and watching TV (bad idea). In college, I would blow-dry my hair while reading trashy gossip mags (good idea). And honestly, what self-respecting multi-tasker hasn't tried to type an email while sitting at a red light? Note: Always a bad idea.
These days, I follow some very specific "rules" when it comes to multi-tasking, because - let's face it - in the wrong hands, it can be a dangerous weapon. Today, I'm going to share with you my rules for multi-tasking while on the phone.
Admittedly, talking on the phone creates the perfect opportunity for multi-tasking. Set up an AT&T Cordless Headset and you'll have your hands free and a range of up to 500 feet for mobility. However, there are still limitations and requirements if you want to do it right. Here are a few things to remember:
1. Stick with "mindless" activities.
Brain-power can only be divided so much before quality begins to suffer. Don't push it. Let your brain focus on the phone conversation; let your hands focus on a task that doesn't require any significant amount of mental attention. Examples include:
- Stuffing envelopes
- Making copies
- Cleaning your office
2. Avoid activities that are highly important or detail-oriented.
While on the phone, don't try to balance your checkbook or read a lengthy email from your boss. Both the task and the conversation will suffer. Plus, the person on the other end of the phone will know they don't have your full attention.
3. Take advantage of hold times.
Yes, it's annoying to sit on hold for ages, but sometimes it's just an unavoidable part of business. The good news is that you don't have to be chained to your desk. Use the time wisely. Strap on your cordless headset and freely move around your office while enjoying that soothing hold music. Grab a cup of coffee, check the mail, or even catch up with a co-worker. The choice is yours!
4. Simplify note-taking.
Business phone calls often require multi-tasking: listening while taking notes. Just be sure to tell the person on the other end that you're either writing or typing, especially if there are lengthy pauses or moments of silence while you transcribe.
5. Be reasonable.
Don't go overboard with the whole multi-tasking thing. Yes, it feels good to be productive. But don't try to talk on the phone, take notes, stuff envelopes and IM with your coworkers all at the same time. That's just too much. When on the phone, stick with one relatively mindless task. Additionally, don't try to multi-task when the conversation is a difficult one. If you really need to focus all of your energy and attention on the phone call, do it. Let logic be your guide.
